Full Charge Bookkeeper (part time) 

Administration| 30 hours per week

Job Overview 

The Marine Science Institute (MSI) is a non-profit organization that provides hands-on science education for Northern California students.  We accomplish this goal by providing distinct and innovative programs. The Discovery Voyage Program takes students on a four-hour, hands-on exploration of the San Francisco Bay Estuary.  For the younger students, the Shoreside Programs emulate the shipboard science curriculum from the shore in our waterfront classrooms and lab.  Our outreach programs bring live marine animals out to the schools.  We serve approximately 50,000 students and adults per year. 

 

MSI is seeking a Full Charge Bookkeeper to join our growing team. This is a ¾ time position (30 hours/week) which includes benefits. Salary depends on experience. 

  

Basic Function 

The full charge bookkeeper position creates financial transactions and generates complete, accurate, and timely reports from that information. The creation of financial transactions includes posting information to accounting journals and accounting software from such source documents such as invoices to customers, cash receipts, and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy. 

 

Principal Accountabilities 

 

  1. Perform payroll functions using ADP in an accurate and timely manner.

  2. Pay supplier invoices and take reasonable and available discounts in a timely manner.

  3. Perform all activities related to the accounts payable function including reviewing, coding, and processing payments.

  4. Perform account receivable functions including invoicing, deposits, collections, and revenue recognition.

  5. Conduct a monthly reconciliation of every bank account; 

  6. Conduct periodic reconciliations of all accounts to ensure their accuracy; 

  7. Maintain the petty cash fund; 

  8. Prepare financial reports through collection, analysis, and summarization of data; 

  9. Issue financial statements and report significant issues to management; 

  10. Provide information to the external accountant who creates the company’s Year End financial statements; 

  11. Assemble information for external auditors for the annual audit

  12. Maintain an orderly accounting filing system and the chart of accounts; 

  13. Prepare and maintain the annual budget; 

  14. Comply with local, state, and federal government reporting requirements; 

  15. Tag and monitor fixed assets; 

  16. Attend Finance Committee and Board of Directors Meetings; 

  17. Provide clerical and administrative support to management as requested; 

  18. Follow MSI internal policies, applicable law, and accounting policies and procedures. 

  19.  Grant proposal budgets in varying formats as needs dictate to support Development Department. 

 

Desired Qualifications 

The full charge bookkeeper candidate should have: 

  • At least an associate degree in Accounting, Finance, or equivalent related business experience; 

  • At least 3-5 years relevant experience working in accounting and bookkeeping, preferably at a non-profit; 

  • Thorough knowledge and understanding of GAAP; 

  • Strong verbal and written communication skills; ability to communicate complex data clearly; 

  • Proficient skills in QuickBooks and Microsoft Excel; 

  • Willingness to dive-in head first and learn quickly; 

  • Ability to work independently as well as part of a great team; 

  • Ability to organize and prioritize effectively; 

  • Experience with a wide range of financial transactions including, but not limited to, accounts payable, accounts receivable, payroll, and general ledger; 

  • High degree of accuracy and attention to detail.
